Collections Specialist

 The Collections Specialist is responsible for cash collections and reconciling anchor and national tenant’s delinquent accounts throughout the portfolio. 

Essential Job Functions

  1. Primary responsibilities are to provide for collections of recurring tenant billings. 
  2. Make collection phone calls to tenants. 
  3. Prepare E-mail blasts. 
  4. Support for special billing collections. 
  5. Assists with cash applications for tenant receipts. 
  6. Participates in scheduled calls with Property Management and Lease Administration teams.
  7. Default Letters- monthly defaults issued to delinquent tenants. 
  8. Bad Debt Reserves: 
    • Carefully monitors the monthly management committee delinquency report and works with the portfolio’s Property Managers to insure progress is made with delinquent tenant accounts, including appropriate reserves are placed and the monthly update notes are current. 
    • File prepared and provided to AR Accounting Collections Manager. 
    • Information provided to Property Accounting. 
  9. AR Reports: 
    • Weekly / Monthly Reports saved to the H Drive on Fridays 
    • AR Aging Detail Report 
  10. Reconcile anchor and national tenant’s delinquent accounts throughout the portfolio, as assigned. 
  11. Researches and provides all necessary supporting lease language or billing invoices to respond to tenant’s nonpayment disputes of tenant accounts assigned. 
  12. In the case of a tenant CAM audit resulting in disputed payments of CAM, respond to tenant’s audit inquiries and follow through to resolution to zero balance of tenant accounts assigned. 
  13. Other duties as may be assigned.
